Meeting rooms reservation management application

  • Safeware presents Gesroom, an application managing meeting rooms reservation, service deliveries and items related to reservation.
  • Gesroom adapts to the various organisations of the companies.
  • Centralisation of the reservations by the corporal services, which are provided with all the application's features.
  • The booking can be done by the associate himself (via the intranet.)
  • Gesroom manages articles, service deliveries, and tests the requested article availability regarding the stock's state and the registered reservations.
  • Numerous features such as surbooking or control panels display improve productivity by increasing the occupancy rate and by optimizing the rooms' maintenance (preparation, equipment positioning…)
  • A data sheet, resuming the reservation's details, acts as a receipt. It is automatically sent to the email address of the reserver, of the logistics, or of the service provider.

Multicriteria searches of available rooms with filters. Search for a room by date, period, site, building, name, room number, capacity, people bracket, planning, equipment…
Items and services deliveries reservations management.
Equipment reservation (audiovisual, computing…), catering (meal periods), etc…
Periodical reservations management. Reservation on a given period and a defined frequency of a room.
Automatic reservation receipt creation. A data sheet presenting the reservation details of the room(s), the day(s) and hours, the room equipments, the service deliveries and the desired hours (audivisuals, computer science, food services…)
Preparation & restore time. Overbooking possibility. Permission at the level of the associate. Alert message in case of overbooking. Locking.
Inputted informations control. Setup and room reservation time recognition.
The system automatically controls the room capacity, the equipment availability (stock).
Control panels and statistical states. Standard data sheets (reservations per person, per room, per date, per status, meeting of the day, overbooking), reservations duty log (each action on the system is traced.)
OPTIONS. Statistical state : Rooms to prepare, equipment to provide. Meals and breaks to be delivered day after day for the incoming week. Rooms occupation.
